Full-Time Position Overview Please note in order to be successful in this role, Spanish is required at this time. We are seeking a friendly, organized, and dependable Bilingual Front Desk Administrative Assistant to support the daily operations of our busy staffing office. This position serves as the first point of contact for applicants, employees, visitors, and incoming calls. The ideal candidate is professional, comfortable working in a fast-paced environment, and able to manage multiple administrative responsibilities while providing excellent customer service. Responsibilities Greet applicants, employees, and visitors and direct them to the appropriate team member. Answer and route incoming phone calls and respond to general inquiries. Assist applicants with the application and check-in process. Provide basic assistance with onboarding paperwork and required employment documents. Assist with I-9 documentation and other onboarding requirements in accordance with company procedures. Provide employees and applicants with instructions regarding drug screenings, background checks, orientations, interviews, and start dates. Receive employee call-offs and late-arrival notifications and communicate information to the appropriate team member. Make outbound calls and send text/email reminders regarding interviews, orientations, start dates, missing documentation, and other employment-related matters. Perform data entry and maintain accurate applicant and employee information. Scan, upload, print, copy, file, and organize documents. Maintain spreadsheets, trackers, and other administrative records. Assist recruiters and management with general administrative tasks as needed. Receive and distribute mail, packages, and office correspondence. Maintain office supplies and notify management when additional supplies are needed. Keep the reception area and front office organized and professional. Maintain confidentiality when handling applicant and employee information. Perform additional administrative duties as assigned. Qualifications Must be Bilingual (Spanish/English) Previous administrative, receptionist, front desk, staffing, HR, or customer service experience preferred. Strong communication and customer service skills. Professional and welcoming demeanor. Strong organizational skills and attention to detail. Ability to multitask and prioritize responsibilities in a fast-paced environment. Comfortable working with computers, email, and Microsoft Office. Basic Microsoft Excel skills preferred. Ability to learn new systems and processes quickly. Dependable and punctual. Ability to handle confidential information professionally. Schedule & Compensation This is a full-time, Monday through Friday position.
