Position Summary The Financial & Administrative Assistant plays a vital operational role at the Cunningham Township Supervisor's Office (CTSO), providing administrative, financial, and compliance support. Working under the supervision of the Finance & Operations Director, this position executes daily accounts payable and receivables workflows, reconciles municipal credit card expenditures, manages program assistance payments (General Assistance, Rental Assistance, and emergency aid), maintains historical records, and provides administrative coordination across all Township operations. About Us Cunningham Township is a public office led by elected Supervisor Danielle Chynoweth that provides assistance for residents facing housing insecurity and homelessness, unemployment, disability, and food insecurity. Our diverse team of 50 staff members is dedicated to advocating for and with our neighbors in need, guided by the principles of social justice, equity, cooperation, and love. Key Responsibilities & Essential Duties 1.

Fiscal & Accounting Operations Support:
Accounts Payable & Check Processing:

Enter vendor invoices, verify supporting documentation, support check printing, track and record voided checks, and coordinate physical check signing, mailing, and distribution.

Credit Card & Expense Reconciliation:

Collect, verify, and allocate all staff credit card receipts against monthly statements; enter itemized expenses into accounting software (QuickBooks); systematically follow up on missing receipts.

Financial Records & Document Retention:

File documents meticulously to maintain historical records. Maintain rigorous physical and electronic accounting archives in accordance with the Illinois Local Records Act and municipal audit standards.

Accounts Receivable & Revenue Tracking:

Track and audit incoming revenue streams, including property tax levy disbursements, intergovernmental transfers, reimbursements, and program grants.

Grant & Fund Accounting Support:

Assist with tracking grant receivables against program expenditures, proactively flagging discrepancies.

Audit Assistance:

Pull requested documentation, and assemble files for financial audits and external funder reviews. Coordinate Staff Reimbursements 2.

Client Assistance & Program Operations:
General Assistance Disbursals:

Process timely monthly, interim, and emergency General Assistance (GA) checks and rent payments as necessary.

Rent & Utility Assistance Payments:

Assist Operations Manager in ensuring accuracy of program approvals, cross-check landlord verification forms, and disburse rental and utility assistance payments.

File Maintenance:

Support filing, paperwork audits, and archiving efforts. 3.

Administrative Coordination & Office Management:
Mail & Deliveries Management:

Securely retrieve, open, date-stamp, log, sort, and distribute daily postal mail, urgent agency notices, legal summonses, and time-sensitive correspondence.

Procurement & Supplies Inventory:

Monitor office, administrative, and hygiene supply inventories; research competitive vendor pricing; execute orders; sort and organize supplies; and maintain accurate expense records.

Timesheet & Payroll Support:

Assist with collecting, reviewing, and tracking weekly employee timesheets and supervisory approvals prior to payroll processing. Standard Operating Procedures (SOPs): Assist in documenting, updating, and refining standard administrative procedures, office checklists, and onboarding guides.

Governance & Public Records Support:

Assist in assembling monthly Township Board meeting information and provide logistical and clerical support for Freedom of Information Act (FOIA) requests under the direction of the FOIA Officer. 4.

Other duties:

Participate in staff and team meetings, as applicable to role Pursue professional development in alignment with annual goals Perform other duties as assigned.

Qualifications Required:

Minimum of two (2) years experience in office administration, bookkeeping, financial recordkeeping, or non-profit/governmental program coordination. Proficiency in accounting software (QuickBooks preferred), Microsoft Office (Excel, Word, Outlook), Google Workspace (Docs, Sheets, Drive, Gmail), Adobe Acrobat, Familiarity with accounting principles, bookkeeping, invoicing, receipt reconciliation, and expenditure categorization. Exceptional organizational skills with accuracy in data entry, numerical verification, filing systems, and deadline tracking. Demonstrated proficiency working respectfully with people of all economic, racial, and gender identities. Commitment to maintaining strict confidentiality of sensitive client, personnel, and fiscal information. Ability to hold a trusted working relationship with the Supervisor and leadership staff.

Preferred :

Prior experience working in public administration, housing, or human services work. Familiarity with Illinois local government operations, the Illinois Local Records Act, Open Meetings Act (OMA), or the Illinois Freedom of Information Act (FOIA). Experience processing payroll.
