About the
Role:
The Administrative Assistant in the Finance and Insurance sector plays a critical role in ensuring the smooth and efficient operation of daily office activities. This position is responsible for providing comprehensive administrative support to management and team members, facilitating communication, and maintaining organized records. The role demands a high level of accuracy and confidentiality, as it often involves handling sensitive financial information and client data. The Administrative Assistant acts as a liaison between departments, clients, and external partners, contributing to the overall productivity and professionalism of the organization. Ultimately, this position supports the business's operational goals by managing schedules, coordinating meetings, and assisting with documentation and reporting tasks.
Minimum Qualifications:
High school diploma or equivalent required; Associate's degree or higher preferred. Proven experience as an administrative assistant or in a similar role within the finance or insurance industry. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational skills with the ability to multitask and prioritize effectively. Excellent written and verbal communication skills.
Preferred Qualifications:
Experience with financial software or customer relationship management (CRM) systems. Knowledge of basic accounting principles and financial terminology. Familiarity with data privacy regulations and compliance standards relevant to finance and insurance. Ability to work independently and as part of a team in a fast-paced environment. Additional certifications such as Certified Administrative Professional (CAP) or equivalent.
Responsibilities:
Manage and organize executives' calendars, schedule appointments, and coordinate meetings to optimize time management. Prepare, review, and distribute correspondence, reports, and financial documents with attention to detail and accuracy. Maintain and update filing systems, both electronic and physical, ensuring confidentiality and easy retrieval of information. Serve as the first point of contact for internal and external communications, responding promptly and professionally to inquiries. Assist with the preparation of presentations, financial reports, and other documentation required for meetings and audits. Coordinate travel arrangements and expense reporting for team members as needed. Support various administrative projects and tasks to improve office efficiency and workflow.
