We are seeking a dynamic and passionate Early Learning Center Administrative Assistant to join our vibrant educational community. Responsibilities Promotes the value and philosophy of the Early Learning Center Warmly welcomes people to the ELC, ensuring their needs are anticipated and promptly met. Manages projects in a timely, efficient, and detailed manner. Actively recruits potential families by nurturing relationships starting with the very first phone call, touring of the school, and in-person interactions Professionally and relationally manages internal and external communications Accurately and efficiently types and files reports, forms, data collection, etc. Provides well-planned preparation and support for reviews, school meetings, and events Manages information effectively: data entry, event registrations, mailing lists, training logs, etc. Processes financials for the school competently including but not limited to: Oversee all tuition billing within Brightwheel Maintain accurate student profiles (in-take and enrollment information, tuition rates, billing plans, discounts, scholarships) Monitor A/R aging and flag accounts Assist with resolution of billing discrepancies and parent inquiries Generate and review Brightwheel Billing Summaries, Payment Reports, A/R Aging, Enrollment vs. Billed Students Identify inconsistencies (Missed Charges, incorrect tuition rates, gaps in billing) Prepares regulatory reviews: NAEYC, Paths to Quality, HighScope PQA, IN Licensing, Fire Marshall Performs all other duties as assigned by the Director Qualifications Proven experience in education administration within early childhood settings or similar environments. Strong background in management, supervision, and leading teams of educators or staff members. Excellent communication skills Classroom experience working directly with children in early learning environments is highly preferred. High attention to detail
Technology Proficiency:
Comfortable and proficient with digital communication tools, websites, online training platforms, GroupMe, Microsoft 365, and other technology applications used for daily communication and operations. Minimum of a Bachelor's Degree in Education or Business Leadership qualities that inspire teamwork, innovation, and a shared vision for educational excellence.
