full-time Administrative Dispatcher / Bid File Coordinator Premier Electric, Inc. is seeking a dependable, organized, and professional Administrative Dispatcher / Bid File Coordinator to support our daily office and field operations. This position requires someone who communicates well, handles multiple priorities, and follows tasks through to completion. Primary Responsibilities Answer and direct incoming phone calls professionally Dispatch service calls and communicate schedules to customers and field employees Create, organize, and maintain bid files Track bid invitations, deadlines, addenda, and submitted proposals Perform accounts receivable duties, including preparing invoices, tracking payments, and following up on past-due balances Maintain electronic and paper filing systems Enter and update customer, project, and service information Scan, copy, organize, and distribute documents Assist with scheduling, emails, correspondence, and general clerical duties Coordinate with project managers, estimators, accounting staff, and field personnel Handle confidential company and customer information appropriately Complete additional administrative tasks as needed Qualifications Strong organizational and multitasking skills Professional phone manner and customer-service skills Clear written and verbal communication Strong attention to detail and accuracy Dependable, punctual, and able to work independently Comfortable managing changing priorities in a fast-paced office Proficient with Microsoft Outlook, Word, and Excel Previous experience in dispatching, accounts receivable, construction administration, or office support is preferred Electrical or construction industry experience is helpful but not required The Ideal Candidate The ideal candidate is proactive, organized, comfortable communicating with customers and employees, and willing to take ownership of assigned responsibilities. This person should be able to move between answering phones, scheduling service work, maintaining bid documents, assisting with receivables, and completing clerical tasks without losing track of important details.
