Job Description

Office Specialist We are seeking a highly organized and detail-oriented Office Specialist to join our All Saints Home Care team. As a vital member of our team, you will ensure the smooth and efficient operation of our office, providing essential administrative and support services that contribute directly to our team's productivity and success. If you possess excellent communication and problem-solving skills, with a focus on accuracy and efficiency in managing sensitive client and employee information, we encourage you to apply.
  • Key Responsibilities:
  • Administrative Support:
  • Manage incoming and outgoing correspondence, including emails, phone calls, and mail, with promptness and professionalism. Maintain accurate and organized filing systems, both physical and electronic, to ensure easy retrieval of information. Assist with data entry and record-keeping tasks while maintaining accuracy and confidentiality.
  • Payroll and Authorization Management:
  • Handle payroll communications, addressing inquiries from clients, staff, and coworkers via phone, email, and in-person. Assist with IVR Exception Form entry and reports and time adjustments in Authenticare.
  • Communication and Collaboration:
  • Communicate effectively and professionally with clients, staff, and coworkers. Collaborate with team members to ensure efficient workflow and timely completion of tasks. Provide exceptional customer service to clients and visitors, addressing inquiries with empathy and efficiency. Maintain strict confidentiality of sensitive client and employee information.
Additional Responsibilities:
  • Perform other duties as assigned by the Office Supervisor or other supervisors, demonstrating flexibility and a willingness to assist where needed.
  • Qualifications:
  • High school diploma or equivalent required; associate or bachelor's degree preferred.
Proven experience in an administrative or operational support role, preferably within a healthcare or home care setting. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Excellent organizational and time management skills, with the ability to prioritize tasks effectively. Strong attention to detail and accuracy, particularly when handling sensitive data. Ability to prioritize tasks and meet deadlines in a fast-paced environment. Excellent written and verbal communication skills, with a professional and empathetic demeanor. Ability to work independently and collaboratively as part of a team. Strong problem-solving and critical-thinking skills. Experience with Authenticare or similar home care software is an asset.
