Newton, KS Job Details 5 days ago Qualifications High school diploma or GED Clerical experience Full Job Description About the Role Are you an organized, dependable administrative professional looking to make a meaningful impact in a behavioral health setting? We are seeking a Unit Administrative Assistant to join our dedicated team within our Psychiatric Residential Treatment Facility (PRTF) and Behavioral Urgent Care (BUC) / Crisis Services division. In this vital role, you will serve as the administrative anchor for our units—supporting clinical leadership, managing daily operational tasks, maintaining unit organization, and ensuring a welcoming, safe environment for staff, patients, and visitors. What You'll Do (Key Responsibilities)
Unit & Leadership Support:
Assist the Crisis Clinical Officer, PRTF Director, and Director of Nursing with daily administrative needs, including correspondence, scheduling, meeting coordination, and managing unit email lists.
Daily Operations & Logistics:
Oversee daily mail distribution, manage petty cash, process and route vendor invoices (pharmacy, security, transport), order medical and general supplies, and schedule vehicle usage.
Reception & Unit Security:
Serve as a welcoming presence for the unit—answering phone calls, managing visitor access, and helping maintain a safe, secure environment.
Data & Compliance Management:
Maintain daily KDADS reporting tools, perform chart audits, track medical physicals/consults, and coordinate with Health Information Management (HIM) for EMR scanning.
Staffing & Onboarding Assistance:
Assist leadership with staff scheduling, interview coordination, and communicating daily schedule updates (such as sick coverage or shift changes).
Cross-Functional Back-up:
Serve as the day-shift Unit Clerk for the PRTF/school, coordinate administrative needs for lab draws, and act as a backup for the Facilities Coordinator when needed.
What We're Looking For Education:
High School Diploma or equivalent required. (College coursework or degree in a related field is a plus!)
Experience:
Minimum of 2 years in an administrative assistant or related clerical role.
Technical Skills:
Strong keyboarding and computer proficiency; comfortable acting as a basic computer resource/troubleshooter for unit staff.
Communication & Detail:
Excellent written and verbal communication skills, including strong grammar, punctuation, and phone etiquette.
Mindset & Focus:
Ability to work independently, think quickly on your feet, follow protocols, and maintain a positive, welcoming demeanor under pressure.
Physical & Environmental Requirements:
Ability to sit and type for extended periods (2+ hours at a time), bend/stoop/kneel as needed for filing/supplies, and observe unit activities.
Background Clearances:
Must successfully pass both a Kansas Bureau of Investigation (KBI) background check and a Central Registry screening. Why Join Us?
