We're looking for an Administrative Assistant to be the welcoming face and backbone of our office. Position Overview The Administrative Assistant plays a critical role in ensuring the smooth operation of our office while supporting clients, CarePros, and the leadership team. As the first point of contact for visitors and callers, you'll reflect our core values, professionalism, and commitment to quality care. This is a full-time position where dependability, compassion, and attention to detail are essential. Key Responsibilities •
Office Management:
Answer and direct phone calls in a friendly, professional, and knowledgeable manner. Greet and welcome visitors warmly, ensuring they feel valued and respected. Check and respond to voicemail messages promptly. Maintain a clean, organized, and welcoming office environment, including light cleaning duties (e.g., dusting, vacuuming, etc). Manage office trash removal and coordinate office supplies as needed. On call responsibility •
Supportive Duties:
Assist the Human Resources team with CarePro engagement initiatives. Communicate client and CarePro concerns to the appropriate team members. Coordinate and support shift coverage in the field when required. Ensure all Home Instead standards are met and upheld. •
Administrative Excellence:
Handle service inquiry calls, ensuring they are directed to the appropriate staff. Facilitate introductions between clients and CarePros. Demonstrate open and effective communication with leadership, colleagues, and CarePros. • Commitment to
Team Success:
Exhibit consistent attendance and reliability to support your team. Work independently, maintain confidentiality, and meet deadlines. Qualifications Proven experience in an administrative or customer service role. Strong communication, organizational, and multitasking skills. Ability to work independently while maintaining a team-focused mindset. Familiarity with the senior care industry is preferred.
