Our Louisville office supports field projects that depend on accurate schedules, current records, and clear communication between the office and teams on site. We are hiring an Administrative Assistant to keep that work organized. You will work with operations managers and field supervisors, making sure they have the information they need as plans, equipment needs, and project timelines change. This is a full-time role with a consistent Monday-Friday, 8:00 a.m.-4:30 p.m. schedule , including a 30-minute unpaid lunch. It offers the opportunity to learn how field operations work while taking ownership of practical administrative tasks from the start. You do not need a background in construction or logistics; careful work, sound judgment, and dependable communication matter more. The work you will own Keep schedules current. Update shared calendars and project trackers as managers confirm site dates, crew assignments, meetings, and changes to daily plans. Maintain project records. Organize work orders, delivery information, equipment records, and other operational documents so colleagues can find the latest version quickly. Connect office and field teams. Relay confirmed updates to the right people, follow up on missing information, and flag conflicting details before they affect the day's work. Support purchasing and suppliers. Track requests for materials or services, maintain supplier contact information, and help match incoming paperwork to the appropriate project. Prepare useful updates. Enter information accurately, review spreadsheets and records for gaps, and put together straightforward status reports for managers. Improve the routine. Notice recurring administrative problems, suggest practical fixes, and help maintain an orderly system as project needs change. You can prioritize a time-sensitive request, ask a clear question when information is missing, and return to your other work without losing track of it. You communicate professionally with managers, colleagues, suppliers, and field supervisors, and you take care with information that others rely on. Confidence with email, calendars, documents, and spreadsheets is important. Previous office support or administrative experience is helpful, but a degree and industry experience are not required.
