This role is vital in creating a positive first impression for visitors and clients while ensuring the smooth operation of daily administrative tasks. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, both in person and over the phone. Your enthusiasm and professionalism will help foster a friendly, efficient environment that supports our team's success. Responsibilities Answer phones and respond to parent inquiries Greet visitors warmly, ensuring they feel welcomed and attended to promptly. Manage student registration, attendance records, and documentation Maintain organized files and office systems Assist with data entry and basic reporting Support communication between families and program staff Handle general office tasks (copying, filing, scheduling, etc.) Provide front desk support and greet visitors Handle all front desk duties including checking in visitors, issuing visitor badges, and maintaining visitor logs. Maintain organized reception area, including filing, data entry, and managing office supplies inventory. Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings. Assist with clerical duties such as proofreading documents, managing correspondence, and updating records using Microsoft Office and Google Workspace tools. Provide exceptional customer service by addressing inquiries efficiently and supporting client needs with a positive attitude. Requirements High school diploma or equivalent required Previous administrative or clerical experience preferred Strong organizational and multitasking skills Excellent communication and customer service skills Ability to work independently and stay organized Proven experience working at a front desk or in an administrative support role within an office environment. Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software like QuickBooks. Excellent organizational skills with the ability to multitask effectively in a fast-paced setting. Bilingual abilities are highly desirable to serve diverse client needs effectively. Demonstrated phone etiquette with experience managing multi-line phone systems confidently. Prior clerical experience including filing, proofreading, and maintaining accurate records. Knowledge of office management procedures such as calendar management, bookkeeping, and personal assistant tasks is preferred. Ability to prioritize tasks efficiently using strong time management skills.
