Role Description The Administrative Specialist is a full-time, on-site role located in Plymouth, MA. Asset & Title Administration Coordinate the administrative process for retitling and transferring assets. Prepare, organize, and track documentation required for asset transfers and ownership changes. Maintain accurate records of assets, ownership, registration, and related documentation. Coordinate with attorneys, financial institutions, insurance companies, title companies, registries, and other third parties as appropriate. Follow up on outstanding documentation, signatures, approvals, and transfer requirements. Track the status of asset retitling and transfer requests from initiation through completion. Ensure completed documentation is properly recorded, filed, and maintained. Assist with identifying discrepancies or missing information and coordinating their resolution. Maintain confidentiality of client, company, financial, and ownership information. Client & Internal Administrative Support Provide administrative support to advisors, management, and other team members. Assist with preparing client correspondence, forms, reports, and administrative documentation. Coordinate requests between internal departments and outside professionals. Maintain accurate client and administrative records within applicable systems. Assist with onboarding and ongoing administrative maintenance for clients. Provide follow-up support to ensure administrative requests are completed timely and accurately. Recordkeeping & Process Management Maintain organized tracking systems for administrative requests and asset-related projects. Monitor deadlines and follow up with appropriate parties to keep projects moving. Identify opportunities to improve administrative processes and documentation. Ensure records are complete, accurate, and easily accessible. Assist in developing and maintaining standard operating procedures for recurring administrative and asset-related processes.
