Job Description

General Summary of Position:
The University of Massachusetts Lowell is seeking a part-time Administrator for the UTeach program. This is a part-time 18-hour position working Monday to Thursday from morning to mid-afternoon with a one hour unpaid lunch. Some evening or morning hours may be required. UTeach is an innovative undergraduate teacher preparation program recognized by the national UTeach program. It is designed to give STEM majors the opportunity to investigate and prepare for a career in teaching math, science or engineering in high school. The program is open to science, math, computer science and engineering students. The Administrator for the UTeach
UMASS LOWELL
program will carry out administrative and data management tasks under the direction of the Program Director. These tasks include overseeing purchasing, contracts, budget, correspondence, maintaining student records, and assisting with the development of recruitment materials. In addition, the individual will gather the necessary data and documentation to be sent to the UTeach Institute in Texas Austin and supply licensure data for the licensure officer in the School of Education. The UTeach Administrator will assist students with program information they need. Essential Job Duties:
Supporting the work of the Program Director and Master Teachers by preparing correspondences, recruitment, registration, surveys, and licensure materials, booking rooms, scheduling meetings and filing. Providing information and a welcoming environment for students interested in or part of the UTeach program. Maintaining an environment that is welcoming to persons of all backgrounds, nationalities, and roles. Attending/participating in program-related meetings virtual and/or in person. Maintaining a database to track student enrollment and progress through program (i.e., creating electronic student files and processing forms--Exception forms; Declaration of STEM Teaching minor) Systematically maintaining records and data spreadsheets of students' data for review by the Program Director and the Dean's Office and submitting to the
UTEACH INSTITUTE
in Austin Texas. Maintaining materials needed by DESE (Department of elementary and Secondary Education) and working with educator licensure officer on Massachusetts licensure documentation as well as accreditation documentation (i.e.
MEPID, MTEL
tests passed; course history; practicum; advising reports) Overseeing purchasing and maintaining the program budget (operating and discretionary funds) Arranging payments to mentor teachers, supervising practitioners and student ambassadors Making BuyWays purchases Writing Donor reports Requesting transfer of funds Managing materials and resources - being responsible for management of classroom facilities, including purchase and maintenance of equipment, computers, supplies, and materials required for all the different users. Overseeing check-in and check-out materials teacher candidates take to teach Managing a group of student workers to assist with various tasks. Working with facility management to keep the classroom and offices clean Filing; photocopying/scanning & copier maintenance; managing mail and other general office & clerical tasks Producing creative flyers, posters, invitation cards and updating bulletin boards as needed Executing other duties as assigned Minimum Qualifications (Required):
Education/Experience:
Bachelor's degree Three years of experience working with young adults (high school or undergraduate) in an education setting preferred
Skills:
Ability to use Microsoft Office - Word, Excel, PowerPoint, and Publisher Ability to use Google tools and learn new systems and software such as Buyways, Summit, learning management systems Ability to create and maintain database of students in the UTeach program and alumni
Event and Workshop Organizing Skills:
Understanding requirements for each events and workshops Manage all operations ( booking venues, catering, photographers, preparing invitations, technologies etc.) Oversee event happenings and act quickly to resolve problems Special Instructions to
