Immediately Job Description Old Rochester Regional School District and Massachusetts Superintendency Union #55 seeks a detail-oriented, reliable Recording Secretary to support the School Committees. This role is essential to ensuring transparency, municipal compliance, and public access to school governance. The Recording Secretary attends all regular, special, and executive session meetings of the School Committees in Marion, Mattapoisett and Rochester to record official proceedings and draft meeting minutes in accordance with Massachusetts Open Meeting Law (M.G.L. c. 30A, §§ 18-25). Key Responsibilities
  • Attend Meetings:
    Present, in-person, at all scheduled School Committee meetings (most Thursday evenings).
Record Minutes:
Prepare clear, accurate, and concise written summary minutes, capturing at minimum; date, time, and location of the meeting, attendance of committee members and key district personnel, summary of discussions on each agenda topic, exact wording of all motions made, seconders, and the detailed vote tally (including roll-call votes) and a list of all documents and exhibits used during the meeting.
  • Executive Sessions:
    Attend and record confidential executive sessions, keeping separate minutes that meet statutory requirements.
  • Turnaround & Revisions:
    Draft minutes within 5 to 7 business days following a meeting and make any necessary edits requested by the Committee Chair or Superintendent's office prior to formal approval.
  • Record Keeping:
    Maintain organized electronic records of draft and approved minutes, coordinating with the Executive Assistant to the Superintendent for posting.
  • Other Duties:
    Responsibilities assigned by Superintendent or School Committee Chairperson(s) as needed. Qualifications
  • High School Diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Minimum of 1-2 years of experience in administrative support, transcription, municipal government, or minute-taking. Knowledge & Skills
  • Knowledge of Massachusetts Open Meeting Law (M.G.L. c. 30A, §§ 18-25) and public record requirements.
  • Outstanding written communication, grammar, proofreading, and spelling skills.
  • Strong active listening skills with the ability to summarize complex discussions accurately without verbatim dictation.
  • Proficiency in Microsoft Word, Google Docs, and email platforms. Attributes
  • Strict maintainer of confidentiality, particularly regarding executive session matters.
  • Punctual, reliable, and capable of meeting consistent deadlines.
