Duties:
- Performs a variety of administrative tasks for the commercial property management team including but not limited to phone communication, draft, preparation, and distribution of correspondence, approving invoices, calendar scheduling, meeting coordination, filing and copying, etc.
- Serve as a supportive point of contact for tenants, addressing their inquiries and concerns with professionalism and excellent phone etiquette.
- Utilizing our online property management software, Appfolio, to track and manage building engineer work orders. Coordinate and monitor status or work assigned to vendors and/or property management team, ensuring timely completion of maintenance requests.
- Coordinate accounts payables and receivables and approve invoices for payment on Appfolio.
- Maintain organized vendor and property files and databases, accurately entering and updating tenant information. This includes tracking insurance certificates, lease abstracts, etc.
- Maintain positive tenant relationships through effective communication and problem-solving.
- Assist with rent collections correspondence with tenants as needed.
- Provide ad-hoc administrative support to the property management team as needed including running errands for the office.
- Support with monthly accounting and building financials.
Required Skills:
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Proficient in Microsoft Office Suite
- Word and Excel
- Strong communication skills.
- Attention to detail in data entry and file management.
- Ability to resolve tenant issues in a professional manner.
- Proficiency in basic accounting functions.
- Knowledge or experience in real estate is a plus.
- Proficient in basic Adobe functions.
