Introduction An Office Secretary III is work providing secretarial support to an official, Administrator or administrative staff. This position serves as an important role in the administrative operations of the Office of Financial Regulation (OFR). It involves providing administrative and clerical support to the Office's units, primarily the Consumer Response Unit and the Licensing Unit, and it may provide administrative support to the Commissioner, Deputy Commissioners, Assistant Commissioners, Office Manager, Director of Administration, and Assistant Director of Administration.

Charles Street, Baltimore, MD 21201 Main Purpose of Job This position serves as an important role in the administrative operations the Office of Financial Regulation (OFR). It involves providing administrative and clerical support to the Office's units, primarily the Consumer Response Unit and the Licensing Unit, and it may provide administrative support to the Commissioner, Deputy Commissioners, Assistant Commissioners, Office Manager, Director of Administration, and Assistant Director of Administration. This position is responsible for daily mail processing, incoming telephone calls, email, registering and greeting visitors for the Office and serves as the Receptionist. This position may, at the discretion of the supervisor, work remotely in accordance with the Agency's telework policies.
POSITION DUTIES
Duties of this position include but are not limited to : Performs administrative duties for the Office of Financial Regulation.
Managing correspondence:
Handling incoming and outgoing communications such as emails, letters, and phone calls. This involves screening calls, taking messages and responding to inquiries. This work involves exercising independent judgment in terms of reviewing and distributing all mail and logging all deliveries and checks received, which is part of the dual control system; greets visitors and provides them with the requested information or referrals. Logs checks received and prepares deposit tickets. Drafts correspondence such as emails memorandums and letters. Determines when licensing bonds need to be increased by reviewing requirements. Provides information to callers about laws, rules, regulations, operations and procedures specific to licensing department requirements.
Document management:
Organizing and maintaining files, records, and confidential documents, such as but not limited to onboarding documents and inventory forms. Assembles and prepares reports in Google suites.
MINIMUM QUALIFICATIONS
Education :
Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience :
Three years performing secretarial or clerical work involving typing duties.
Notes :
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education. 2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience. 3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications. One year of experience working with equipment inventory process. One year of experience working on new employee onboarding process. Experience preparing reports.
SPECIAL REQUIREMENTS
Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position. All candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (LABOR/DUI) to determine whether any monies are owed to
LABOR/DUI
as a result of unemployment overpayment/fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.
