Job Description

We are looking for a Property Administrative Assistant to support daily front desk and administrative operations at a residential property in Cambridge, Massachusetts. This Long-term Contract position is ideal for someone who enjoys helping residents, managing multiple priorities, and keeping office processes running smoothly in a busy setting. The person in this role will serve as a key point of contact, provide attentive customer service, and handle a range of administrative tasks with accuracy and professionalism.
Responsibilities:
  • Process resident rent payments accurately and maintain organized payment records.
  • Record maintenance and service requests promptly and ensure details are entered correctly for follow-up.
  • Coordinate recertification meetings and resident appointments by managing calendars and confirming schedules with the team.
  • Sort and distribute incoming mail in a timely manner to support daily office operations.
  • Prepare resident communications, including memos and required notice documents, with attention to detail.
  • Print account ledgers, provide lease documents to residents, and follow up to obtain completed signatures when needed.
  • Deliver courteous, responsive assistance to residents and visitors while maintaining efficiency in a high-volume front desk environment.
  • Keep administrative files, documents, and office activities well organized while adapting to changing priorities throughout the day.
