Full-Time, On-Site We are a fast-growing service company seeking an organized, detail-oriented Office Administrator to support daily operations at our Maryland location. This role is ideal for someone who enjoys variety in their workday, takes pride in staying organized, and enjoys being the go-to person who helps keep a business running smoothly. The successful candidate will provide administrative support, assist with invoicing and accounts receivable activities, coordinate office functions, and help support multiple departments across the organization. Compensation and Benefits $18.00 - $22.00 per hour, based on experience Pre-tax health insurance reimbursement plan 6 days PTO plus paid holidays 401(k)/IRA with company match Key Responsibilities Administrative & Office Coordination Greet visitors, employees, and customers professionally Answer incoming phone calls and direct inquiries appropriately Maintain office organization, supplies, refreshments, and general office needs Schedule and coordinate meetings and internal events Assist with onboarding paperwork and basic HR administrative functions Coordinate calendars, meetings, and communication for leadership team members Support social media posting and basic online presence activities Assist with various operational and administrative projects as needed Invoicing, Accounts Receivable & Administrative Support Generate and send invoices to customers accurately and on time Monitor invoice status and identify items requiring follow-up Maintain accurate customer billing records Contact customers regarding past-due balances through phone calls and email communications Track accounts receivable aging and assist with collection efforts Research and resolve customer billing questions and payment discrepancies Process and record customer payments Prepare AR reports and provide updates on outstanding balances Coordinate with operations and management to resolve invoicing and collection issues Provide administrative support to accounting and operations teams Assist with reporting, recordkeeping, and data entry responsibilities Qualifications Minimum of 2 years of experience in administrative, office, customer service, accounts receivable, bookkeeping, or operations support roles Experience with invoicing, collections, accounts receivable, or customer billing preferred Strong organizational and time management skills Ability to manage multiple priorities simultaneously Comfortable using QuickBooks, Microsoft Office, and web-based software platforms Excellent verbal and written communication skills High school diploma or equivalent required; additional education is a plus Self-motivated, dependable, and capable of working independently What We Offer Competitive compensation based on experience Stable, growing organization with long-term opportunities Supportive team environment Opportunity for increased responsibility and career growth as the company expands Preferred Experience Candidates with experience in field services, transportation, logistics, construction, facilities maintenance, or other service-based industries are encouraged to apply.
