Job Summary We are seeking a dynamic and highly organized Administrator to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Responsibilities Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Oversee office management tasks such as filing, data entry, proofing documents, and maintaining organized records Utilize computer skills to handle correspondence, schedule appointments, and coordinate calendar management using tools like Google Workspace and Microsoft Office Provide customer support by addressing inquiries promptly and assisting clients or team members with their needs Perform clerical duties including typing, proofreading, data entry, and maintaining accurate filing systems Support bookkeeping activities using QuickBooks or similar accounting software to ensure accurate financial records Assist in personal assistant tasks such as managing schedules, organizing meetings, and supporting team members with administrative needs Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent communication skills with a focus on professional phone etiquette and customer service Experience with office management systems including multi-line phone systems and filing procedures Bilingual abilities are highly desirable to serve diverse client needs effectively Demonstrated clerical experience with data entry, proofreading, and document management Knowledge of medical or dental receptionist duties is a plus; familiarity with bookkeeping software like QuickBooks is advantageous Strong time management skills coupled with the ability to prioritize tasks efficiently Join us to be part of a vibrant team dedicated to operational excellence!
