Administrative Assistant to the President We are seeking a highly organized, dependable, and motivated Administrative Assistant to support the President of a construction company. This position requires excellent communication skills, strong attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Administrative Assistant will work closely with the President to manage daily scheduling, communications, meetings, and administrative responsibilities while also assisting with company operations, preconstruction activities, and project follow-ups as needed. Key Responsibilities Manage the President's calendar, schedule meetings, coordinate appointments, and assist with daily priorities. Handle and prioritize emails, phone calls, messages, and correspondence on behalf of the President. Coordinate meetings with clients, general contractors, vendors, subcontractors, and internal team members. Prepare, organize, and maintain proposals, reports, correspondence, and other administrative documents. Assist with preconstruction and estimating-related administrative tasks, including bid follow-ups and document organization. Track important deadlines, action items, and follow-ups to ensure tasks are completed on time. Assist with company paperwork, project documentation, and other administrative requirements. Support general office operations, including ordering supplies, maintaining records, and keeping the office organized. Communicate professionally with clients, business partners, vendors, and employees while representing the company and President. Handle confidential and sensitive company information with discretion and professionalism. Assist the President with additional business and administrative tasks as needed. Qualifications 2+ years of administrative, executive assistant, or office management experience. Construction industry experience preferred. Bilingual in English and Spanish preferred. Strong organizational, time management, and multitasking skills. Excellent written and verbal communication skills. Strong attention to detail and ability to follow through on assignments. Proficient in Microsoft Office Suite, Google Workspace, and general office technology. Comfortable learning construction, estimating, and project management software. Ability to handle confidential information with discretion and professionalism. Comfortable working independently, taking initiative, and anticipating needs. Ability to work effectively in a fast-paced environment with changing priorities. Familiarity with construction terminology, bidding, preconstruction, or project documentation is a plus. $20.00 - $30.00 per hour Expected hours: 40.0 per week
