Job Description

Job Overview We are seeking a dedicated and organized Office Assistant to join our team. The ideal candidate will be responsible for providing administrative support, ensuring smooth office operations, and delivering exceptional customer service. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently. Responsibilities Responsible for interviewing and onboarding employees. Manage front desk operations, greeting visitors and answering inquiries in a professional manner. Handle multi-line phone systems, ensuring effective communication with clients and staff. Perform data entry tasks accurately and efficiently, maintaining up-to-date records. Assist with filing and organizing documents to ensure easy access and retrieval. Provide customer support by addressing inquiries and resolving issues promptly. Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations. Maintain calendars for scheduling appointments and meetings effectively. Proofread documents for accuracy and clarity before distribution. Support bookkeeping tasks as needed, including invoicing and expense tracking. Collaborate with team members on various administrative projects as required. Qualifications Previous office experience is preferred, with a background in clerical or administrative roles. Proficiency in QuickBooks is a plus, along with experience in office management. Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Excellent organizational skills with the ability to manage time effectively and prioritize tasks. Bilingual candidates are encouraged to apply; strong communication skills are essential. Familiarity with phone etiquette and customer service best practices is required. Experience as a dental or medical receptionist is advantageous but not mandatory. Typing speed of at least 40 words per minute is preferred. A proactive approach to problem-solving and the ability to work independently or as part of a team.
