About Stillman Law Office Stillman Law Office is a multi-state creditors' rights law firm headquartered in Farmington Hills, Michigan. We are seeking a reliable, organized, and detail-oriented Administrative Assistant to support the Firm's daily administrative, document-processing, filing, and office operations. This is an onsite, entry-level opportunity for a candidate interested in developing administrative skills in a professional legal environment. The successful candidate will prepare, scan, route, file, and maintain documents; operate standard office equipment; monitor office supplies; and provide general administrative support. This position requires the ability to move efficiently among assignments, meet daily production deadlines, follow established procedures, and protect confidential information. Position Summary The Administrative Assistant provides onsite clerical, document-processing, filing, and general office support during a morning shift. The position uses printers, scanners, copiers, and Microsoft Office applications to prepare and process documents, maintain accurate paper and electronic records, communicate status updates, and support daily departmental operations. The ideal candidate is dependable, organized, attentive to detail, and comfortable working in a deadline-driven environment with changing priorities. Key Responsibilities Perform routine administrative, clerical, document-processing, filing, and office-support activities. Organize daily assignments and prioritize work based on deadlines, supervisor instructions, and changing business needs. Prepare, print, copy, scan, label, route, and file documents accurately. Meet established document-processing and production deadlines. Operate printers, scanners, copiers, and other standard office equipment. Load routine equipment supplies, monitor print and scanning jobs, clear ordinary paper jams, and report recurring equipment problems. Scan documents legibly and save or route electronic copies to the correct location. Create labels and organize, retrieve, archive, refile, and maintain paper and electronic records. Place documents in the correct matter, account, department, or administrative file. Verify that documents, labels, attachments, and routing information are complete and accurate before processing. Use Microsoft Word, Excel, and Outlook for routine document preparation, data entry, spreadsheets, email, status updates, logs, and related administrative work. Move efficiently among administrative, printing, scanning, copying, filing, and records-management assignments. Maintain document control and promptly report missing items, discrepancies, processing delays, or other barriers to completion. Respond to job-related questions and provide accurate status updates to supervisors and internal stakeholders. Coordinate professionally with attorneys, legal support personnel, administrative staff, and approved vendors. Monitor office-supply levels and provide, restock, or order supplies as needed and authorized. Monitor and restock kitchen supplies as needed. Safeguard client, consumer, legal, financial, personnel, and business information. Follow approved document-retention, secure-routing, filing, destruction, and confidentiality procedures. Promptly report lost, missing, misfiled, misdirected, or potentially unauthorized disclosures of documents or information. Perform special projects and other related duties as assigned in support of departmental and Firm operations. Required Qualifications High school diploma or equivalent. Strong attention to detail and commitment to accuracy. Strong organizational and time-management skills. Ability to manage multiple assignments in a deadline-driven environment. Ability to follow written procedures and verbal instructions. Professional written and verbal communication skills. Basic proficiency in Microsoft Word, Excel, and Outlook. Ability to work independently and collaboratively as part of a team. Ability to learn and safely operate standard office equipment. Dependable attendance and availability to work the assigned onsite schedule. Ability to handle confidential and sensitive information responsibly. Preferred Qualifications Prior experience in an office, administrative, clerical, records, customer service, legal, or other professional environment. Experience operating printers, scanners, copiers, or similar office equipment. Experience with document preparation, scanning, records management, file maintenance, data entry, or supply tracking. Experience working with daily production deadlines or competing priorities. Interest in legal administration, office operations, records management, or professional services.
