Job Description
Overview We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! The Center for Childhood Development is a multidisciplinary assessment and treatment center serving children from birth through adolescence and their families in West Michigan. The team in our Holland office includes occupational and speech therapists who collaborate to provide comprehensive, family-centered care. This vital role is the heartbeat of our daily operations, ensuring that administrative tasks run smoothly and efficiently. As an energetic and proactive member of our office, you will be the first point of contact for visitors and clients, manage essential office functions, and support various departments with your exceptional organizational skills. Your enthusiasm and attention to detail will help foster a productive and welcoming environment for everyone. Duties Greet visitors, answer multi-line phone systems, and direct calls with professionalism and courtesy, practicing excellent phone etiquette. Manage calendar appointments, schedule meetings, and coordinate events to optimize team productivity. Perform data entry tasks accurately using spreadsheets, Microsoft Office applications, and specialized software like QuickBooks for financial record-keeping. Handle clerical responsibilities such as filing, proofreading documents, and maintaining organized office records. Assist with office management duties including supply inventory, equipment maintenance, and general administrative support to ensure smooth daily operations. Provide exceptional customer service by responding promptly to client inquiries and supporting client communication efforts. Support personal assistant tasks such as calendar management, travel arrangements, and document preparation as needed. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills. Experience with office management systems, data entry, and filing procedures. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Strong verbal and written communication skills; bilingual abilities are a plus. Technical proficiency with multi-line phone systems, spreadsheets, and productivity software like Word processing tools. Demonstrated customer service experience with a friendly demeanor and professional phone communication skills. Ability to handle confidential information discreetly while maintaining high levels of accuracy in proofreading and document management. Prior office experience or administrative experience is preferred; personal assistant experience is a bonus. Effective time management skills to prioritize tasks and meet deadlines consistently.
