We're looking for an organized, detail-oriented Administrative Assistant to help keep our office running smoothly. This is a job of variety — one day you might be stuffing envelopes for a mass mailing, the next you're calling a client to confirm distribution numbers, and then you're representing the company at a trade show. It's not a flashy role, but it's the kind of work that keeps everything else on track. This is an entry-level position, well-suited to a recent high school graduate or anyone looking to start a professional career. If you're organized, communicate well, and don't mind repetitive tasks mixed with the occasional curveball, we'd like to hear from you. There's potential for growth in responsibilities and roles for the right person. Responsibilities Answer inbound phone calls, assisting or directing calls as needed. Box and stuff envelopes for mass marketing mailings and magazine distribution. Provide general administrative support — filing, copying, binding — to keep the office running efficiently. Make outbound telephone calls to clients to confirm information or distribution quantities and schedule meetings, photoshoots, and deliveries. Attend trade shows and expos on behalf of the company to distribute company publications. Prepare standard reports, agendas, and meeting minutes/packets. Enter and maintain data in the CRM. Handle occasional pickups and drop-offs. Conduct basic client or company research. Position Requirements Ability to communicate effectively in person, on the phone, and in writing. Excellent grammar, spelling, and proofreading skills. Ability to lift up to 40 lbs. Valid driver's license and reliable personal transportation. Excellent interpersonal and customer service skills. Strong time-management and multitasking abilities. High levels of attention to detail. Basic proficiency with Microsoft Office suite. Schedule & Logistics Part-time position of 20 - 30 hours per week. Hours will be scheduled based on office needs and personal availability. Primarily in-office work with occasional travel for trade shows, pick-ups and deliveries. Reports to the President and Director of Operations.
