This position serves as the first point of contact for residents, prospective residents, vendors, and guests while providing administrative support to the Community Manager and Maintenance team. The ideal candidate is detail-oriented, professional, and able to manage multiple priorities in a fast-paced environment while delivering exceptional customer service. Responsibilities Answer and direct incoming phone calls, emails, and walk-in inquiries in a professional manner. Maintain resident files and ensure documentation is complete and compliant with company policies. Prepare correspondence, notices, letters, and reports. Process incoming and outgoing mail. Maintain office supplies and ensure the leasing office remains organized and presentable. Assist with scheduling appointments, inspections, and meetings. Provide outstanding customer service to current and prospective residents. Respond to resident questions and direct maintenance requests appropriately. Assist residents with completing applications, lease documents, and required paperwork. Maintain confidentiality of resident information. Help coordinate resident communications and community events. Process rent payments and maintain accurate payment records. Assist with collections, delinquency tracking, and payment agreements. Prepare bank deposits and reconcile daily receipts. Assist with utility billing and resident account inquiries. Maintain accurate records in the property management software. Requirements Proven clerical experience with strong office management skills and familiarity with administrative procedures Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry skills Experience with multi-line phone systems and handling front desk responsibilities in a professional setting Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Technical proficiency in office productivity software such as spreadsheets, word processing, and calendar management tools Previous experience in medical or dental receptionist roles or personal assistant positions is a plus Demonstrated customer service skills with a friendly demeanor and excellent phone etiquette Ability to manage time effectively while handling multiple responsibilities simultaneously Embark on a rewarding career where your organizational talents and proactive attitude make a real difference!
