Job Description
Make an Impact Behind Every Sale We're looking for a highly organized, proactive, and detail-oriented Sales Administrative Assistant to become a key member of our team. In this role, you'll be the operational backbone of our sales process, ensuring customers receive exceptional service while helping our sales team operate efficiently. What You'll Do Sales Operations & Order Management Process customer quotes and sales orders accurately and efficiently. Verify product availability, pricing, shipping costs, and delivery timelines. Enter and maintain quotes and orders within our CRM (ShopVox). Prepare and manage sales documentation, including quotes, purchase orders, contracts, delivery notes, and invoices. Review invoices for accuracy prior to billing. Create and maintain spreadsheets for shipping, inventory tracking, and project management. Prepare packing lists and shipping labels for large customer programs. Prioritize multiple projects while consistently meeting deadlines. Customer Experience Serve as a primary point of contact for customer inquiries via phone, email, and in person. Provide timely updates on orders, pricing, products, and delivery status. Resolve customer questions professionally and escalate issues when appropriate. Build positive relationships through exceptional customer service. Sales Team Support Partner closely with the sales team to keep projects moving forward. Prepare sales reports, presentations, and supporting documentation. Maintain accurate customer records and sales data. Inventory & Vendor Coordination Monitor inventory levels and coordinate with vendors to help ensure product availability. Create and issue purchase orders while following up on vendor shipments. Assist with inventory audits and stock replenishment activities. Cross-Functional Collaboration Work closely with production, receiving, shipping, and purchasing teams to ensure orders are completed accurately and delivered on time. Verify incoming apparel orders with the receiving department to support accurate fulfillment. What We're Looking For Exceptional organizational skills with outstanding attention to detail. Ability to manage multiple priorities in a fast-paced environment. Strong written and verbal communication skills. A customer-first mindset with excellent problem-solving abilities. Confidence working with CRM systems, Microsoft Excel, and Microsoft Office. Ability to work independently while collaborating effectively across departments. A proactive attitude and willingness to take ownership of projects from start to finish. Preferred Qualifications Previous experience in sales support, customer service, administrative support, or order processing. Experience using CRM systems (ShopVox experience is a plus).
