Job Description

The Automotive Office Assistant plays a vital role in supporting the dealership's daily operations, accounting department, and management team. You will be responsible for handling clerical tasks, assisting with basic accounting and financial record-keeping, processing transactions, and maintaining efficient office workflows. This is an entry-level position and a great stepping stone to a career in automotive finance, office management, or accounting.
Key Responsibilities AccountingClerical Support:
Prepare, organize, and process receipts, invoices, statements, dealership bills, and vendor payments.
TransactionCash Handling:
Receive, count, and balance cash transactions; record orders for parts, services, and dealership supplies.
Record Keeping:
Compile and maintain accurate records of business transactions, customer accounts, and office activities.
Departmental Backup:
Provide clerical and administrative backup support for accounting, service, and sales administration as needed.
Office EquipmentMaintenance:
Maintain office equipment (copiers, printers, fax machines), assist staff with basic troubleshooting, and keep supplies stocked.
Special Projects:
Assist the Office Manager and General Manager with special administrative projects and monthly reporting.
QualificationsSkills EducationExperience:
High school diploma or equivalent required. Associate or Bachelor's degree in Accounting, Finance, or Business Administration-or 1-3 years of related administrative/office experience-is preferred.
Technical Skills:
Proficiency in Microsoft Office (Word, Excel, Outlook) and comfortable learning dealership management software (DMS). Attention to
Detail:
High accuracy in data entry, basic math, and record-keeping.
Communication:
Excellent verbal and written communication skills with a customer-first attitude.
Organization:
Ability to multitask, prioritize tasks, and work independently or as part of a team in a fast-paced environment.
