Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Perform data entry and maintain accurate records using spreadsheets, Microsoft Office, Google Workspace, and other productivity software. Handle calendar management and schedule appointments or meetings efficiently for team members or clients. Support bookkeeping tasks such as invoicing, billing, and basic financial record keeping using QuickBooks or similar accounting tools. Assist with office management duties including filing, organizing documents, proofreading correspondence, and maintaining office supplies inventory. Provide excellent customer service by responding promptly to client inquiries via phone or email and supporting client communication efforts. Perform clerical tasks such as word processing, document preparation, proofreading, and managing electronic or physical filing systems. Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills. Experience with multi-line phone systems, front desk operations, and phone communication protocols. Bilingual abilities are highly desirable to support diverse client needs and enhance communication. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Knowledge of office management practices including filing systems, calendar coordination, and general administrative procedures. Familiarity with bookkeeping software such as QuickBooks and basic financial documentation processes. Demonstrated customer service expertise with professional phone etiquette and client communication skills. Technical proficiency in using productivity software, spreadsheets, typing accuracy, proofreading skills, and overall computer literacy. Previous experience in medical or dental receptionist roles or personal assistant positions is a plus.
