We are seeking a reliable, detail-oriented Administrative Assistant to support our financial team and help maintain a high-quality client experience. Position Overview The Administrative Assistant plays a key role in supporting financial advisors and daily front-office operations. This position requires strong organizational skills, professionalism, discretion, and the ability to learn and adapt to multiple software platforms in a regulated financial environment. Key Responsibilities •
Administrative Support:
Provide administrative support to the financial department by handling phone calls, managing calendars, scheduling meetings, and organizing documents. •
Client Interaction:
Serve as the first point of contact for clients, both in person and over the phone, and assist them with inquiries, appointment scheduling, and document submission. •
Document Management:
Maintain organized filing systems for client records, financial documents, and correspondence. Ensure accuracy and confidentiality in handling sensitive information. •
Coordination:
Coordinate with internal teams to facilitate smooth communication and collaboration on projects, meetings, and events. •
Compliance Assistance:
Assist in financial reports, and other regulatory documents. Ensure compliance with relevant laws and regulations. •
Financial Transactions:
Assist in processing financial transactions, such as invoicing, accurately and in a timely manner. Assist with special projects and additional duties as assigned Assist with CRM updates and client information management Qualifications & Skills High school diploma or equivalent required; associate or bachelor's degree preferred Previous administrative or office support experience Strong organizational and time-management skills Excellent written and verbal communication skills Proficiency with Microsoft Office (Word, Excel, Outlook) High attention to detail and accuracy Ability to handle confidential information with professionalism Client-service oriented with a positive, professional demeanor Ability and willingness to learn new software platforms and office systems Preferred Experience (Plus, Not Required) Experience in the financial services industry Familiarity with Redtail CRM Experience working in a professional office or client-facing environment Experience financial planning software What We Offer Full-time, stable position Competitive pay: $18-$22 per hour, or based on experience Supportive and collaborative team environment Opportunity to grow within the financial services industry Long-term career potential with a professional firm Company contribution toward Health Ins Holiday Pay plus 80 hours of paid time off 401K match after 1 year of service
