We're looking for an organized, dependable Administrative Assistant who enjoys helping others, thrives in a fast-paced environment, and takes pride in keeping things running smoothly behind the scenes. This position is ideal for someone who loves organization, enjoys interacting with families, and understands that the little details make a big difference. What You'll Do Answer incoming phone calls and respond professionally to parent inquiries Schedule evaluations and therapy appointments Register new clients and accurately enter information into our electronic medical record Monitor and follow up on intake paperwork and required documentation Verify that client records remain complete and organized Assist with basic office and administrative tasks Communicate with families regarding appointments, paperwork, and scheduling changes Help maintain an organized, welcoming clinic environment Support therapists and leadership with day-to-day administrative needs
We're Looking For Someone Who Is:
Exceptionally organized and detail-oriented Friendly, professional, and compassionate with families Comfortable learning new software and technology Able to multitask while maintaining accuracy Reliable, proactive, and able to work independently A strong communicator with conversational English speaking and writing skills Committed to providing excellent customer service Qualifications High school diploma or equivalent required Previous experience in a front desk, medical office, administrative assistant, customer service, scheduling, receptionist, or data entry role preferred Strong computer skills and ability to quickly learn new systems Excellent attention to detail and organizational skills Experience in a healthcare or pediatric setting is a plus, but not required Why The Specialists?
