Non-Exempt Position Overview:
Performs intermediate skilled administrative support work supporting a department head member of the administration; coordinating events and functions; providing advanced office support and communications to staff, students, members of the community, and related work as apparent or assigned.
Essential Functions:
Answer phones and direct callers to the appropriate individual; greet visitors and direct to the appropriate location; monitor visitors and security system. Schedule meetings and appointments as required; monitor calendars; schedule events and activities when required; schedule buses for extra-curricular activities; monitor bell schedule changes. Word process letters, memos and minutes; proofreads materials and creates forms; enter, retrieve and verify spread sheet data; photocopy and fax materials; responds to email inquiries; distribute interoffice mail and incoming postal mail/packages. Assist and respond to inquiries and requests of staff, faculty/coaches, public safety officials, students or parents; provide back-up and relieve staff when required. Maintain office equipment, trouble shoot minor problems, contact vendors; maintain academic and office supply inventory, order supplies when required; gather materials to support classrooms; assist in training staff with software applications, trouble shoot minor technology issues. Create and maintain files and data bases on personal, demographic and academic information on students; prepare and run reports and forward to appropriate individual or agency as required. Ensure all staff positions are covered on a daily basis; seeks coverage for extracurricular activities and unplanned absences. Create communications for internal/external distribution; assist with website and social media maintenance; maintain digital TV; coordinate and oversee school year book production. Monitor budget activity upon consultation with principal; prepares purchase orders and codes expenses. Participate in professional development activities as required.
Minimum Qualifications:
Associates/Technical degree with coursework in secretarial or office administration, or related field and moderate experience in an office setting, or equivalent combination of education and experience.
Compensation:
$26.10 per hour, depending on qualifications and experience.
