We are looking for a dependable, organized, and customer-focused Administrative Assistant to join our Park Rapids team. This is an important role within our company. You will help keep projects organized, communicate with customers and insurance companies, manage paperwork, book keeping, and support our restoration team from the initial loss through project completion. Responsibilities Answer phones and respond to customer inquiries in a professional and friendly manner Schedule inspections, mitigation services, repairs, and follow-up appointments Communicate with homeowners, insurance adjusters, project managers, technicians, and subcontractors Create and maintain accurate customer and project files Collect, organize, and maintain insurance claim documentation Assist with estimates, invoices, work authorizations, photos, and other project paperwork Track projects and follow up on outstanding documentation Assist with insurance claim correspondence and communication Enter and maintain accurate information in company software and spreadsheets Handle bookkeeping and administrative tasks using QuickBooks Assist with accounts receivable, invoicing, and payment follow-up Maintain organized digital and paper records Assist management with general office duties and administrative projects Protect confidential customer and company information Help ensure customers receive timely updates throughout the restoration process Social media weekly postings Qualifications Previous administrative, office, bookkeeping, or customer service experience preferred QuickBooks experience required or strongly preferred Strong computer and data-entry skills Excellent attention to detail Strong organizational and time-management skills Professional written and verbal communication skills Ability to multitask and prioritize in a fast-paced environment Dependable, punctual, and able to work independently Comfortable working with customers who may be experiencing stressful property damage situations Willingness to learn the property restoration and insurance claims process Preferred Experience Experience in any of the following is a plus: Property restoration Insurance claims Construction Property management Bookkeeping QuickBooks Customer service Project coordination Compensation & Benefits $17-$21 per hour , based on experience Paid Time Off (PTO) Paid sick days IRA with company matching Training and opportunities to learn the restoration industry Supportive local team environment Advancement The Ideal Candidate The person who succeeds in this position will be someone who enjoys staying organized, solving problems, helping customers, and keeping things moving.
