An Office or Administrative Assistant performs administrative work in an office. Works in a wide variety of office settings, such as a company or business, or a government office or school. Manages paper and electronic files, uses office equipment including computers, responds to phone calls and emails, routes mail and maintains calendars and schedules.
We are seeking a reliable, detail-oriented Branch Administrative Assistant to support the day-to-day operations of our branch office. This position involves customer service, data entry, clerical support, light cleaning, and inventory management. The ideal candidate is organized, motivated, and able to juggle multiple responsibilities in a fast-paced environment.
Key Responsibilities:
Administrative & Office Support Answer phones and route calls/messages accurately and promptly Review employee and client paperwork for completeness and accuracy Enter data for reports and employee time records Maintain office and material inventory; order supplies as needed Prepare weekly branch mailings and reports (Expense Reports, IMPAC Reports, DOT Logbooks/DVIRs, etc.) Keep brochure racks stocked and organized Track leads and enter into internal systems daily Pin sold buildings on branch map Facility & Equipment Support Maintain clean and organized office space (weekly cleaning duties include dusting, mopping, vacuuming, restocking, and cleaning restrooms and windows) Monitor outside appearance of the branch (litter, mowing, snow removal, etc.) Ensure posted contact info for Branch Manager and Building Sales Specialists is current Wash and clean company sales vehicles as needed Inventory & Production Sweep and organize inventory storage area Confirm inventory levels match branch records (INV-15) Coordinate inventory pick-ups as needed
Qualifications:
Previous administrative or customer service experience preferred Proficiency in Microsoft Office Suite, especially Excel and Outlook Strong organizational and communication skills Ability to multitask and take initiative High school diploma or equivalent required
