The Office Specialist II position in the Community Development section is a vital team member in providing high-quality customer service and enhancing efficiency and effectiveness of daily operations in the Planning & Zoning Department (70%) and Economic Development Department (30%). The Community Development section's Office Specialist II position assists each of the section's four departments with budgeting and financing responsibilities throughout the year. The position also serves as the recording secretary for the Planning Commission, Economic Development Authority Board, Heritage Preservation Commission, Zoning Board of Appeals, and other bodies as needed.

Key Responsibilities :
Administrative Support:
Provide high-level administrative support, including managing schedules, screening calls, and handling confidential information.Record Keeping:
Maintain a complex record and filing system, ensuring the organization and accessibility of departmental documents.Public Relations:
Represent the department through positive interactions with customers, visitors, public officials, volunteers, and the public.Data Management:
Compile and analyze data from various sources and departments to prepare reports, questionnaires, budgets, and other documents.Communication:
Prepare correspondence, memoranda, reports, and invoices, utilizing various software packages and tools.Budget and Payroll:
Assist in the administration of the departmental budget and payroll processes.Supervision:
Oversee and train lower-level clerical staff, ensuring that office operations run efficiently.Office Equipment:
Provide user support for office equipment and coordinates maintenance of office equipment. Maintains office supply inventory. Coordination of office equipment leases.Financial Management:
Process invoices, incoming financials, purchase orders, track grant revenue and expenses, issues permits and manage donations and receipts.Meeting Support:
Schedules and attends meetings on behalf of department, taking minutes for boards and commissions and other similar organizations. Participates in department/divisions development or committee meetings.Problem Solving:
Address and resolve questions or problems arising during daily activities.Media:
Website and social media creation and management. Create graphs, charts, brochures, logos, and other materials for multiple departments and administration . Performs other work as required and assigned. View theJob Profile Schedule :
The work hours for this position generally are 8:00 - 4:30 p.m., and may be subject to after hours, evenings and weekends.Benefits:
