This assistant will act as a strategic liaison between stakeholders and the Research and Education program and will provide exceptional administrative support. Successful candidates will demonstrate the ability to multi-task, superb organizational abilities, strong attention to detail, discretion and confidentiality, and a positive, proactive, solutions-oriented mindset. They must be reliable individuals with exceptional communication, customer service, and organizational skills and demonstrate the following durable skills: leadership, character, collaboration, creativity, critical thinking, mindfulness, growth mindset, and fortitude. Additionally, customer service, confidentiality, integrity, and a commitment to university values must be present in their activities. This role performs office and administrative support with an emphasis on planning, logistics and organization/coordination.
Key Responsibilities:
Conduct comprehensive research, compile data, and prepare materials and reports for review by Senior Leadership. Prepare and edit research and education documents and materials for review and approval by the Associate Director of Research and Education. Keep Senior Leadership informed about urgent matters, ensuring their schedules are up-to-date, organized, and free of conflict. Coordinate, plan, and schedule onsite visits. Coordinate and extensively manage calendars for the Associate Director of Research and Education, scheduling meetings with external agencies and overseeing all meeting logistics. Analyze incoming correspondence, prioritize tasks, and redirect to relevant personnel as necessary. Provide other administrative support as necessary such as routing paperwork, organizing and maintaining physical and digital filing systems, and ensuring timely distribution of documents to appropriate personnel. Apply discretion and good judgement by making independent decisions and maintaining confidentiality. Foster positive working relationships and liaise with internal and external stakeholders, collaborating effectively with other support staff. Must be available for regular and consistent onsite work. Shift Monday - Friday, 8:00am - 5:00pm Minimum Qualifications Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary Preferred Qualifications Experience providing administrative support for high-level leaders. Advanced knowledge in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Strong written and verbal communication skills.
Anticipated Hiring Range Salary Range:
$25.00 - $30.00 per hour
