Pay:
$40,000-$50,000 per year, based on experience IPS is a full-service equipment distributor and systems integrator serving the food, chemical, power, pharmaceutical, and general industrial markets. We are seeking a dependable, very detailed and organized Administrative Assistant to support daily office operations. This position works with multiple departments, customers, vendors, and members of the leadership team to keep administrative tasks accurate, organized, and on schedule. Responsibilities Provide administrative and operational support across multiple departments. Report daily progress, completed work, and issues requiring attention to the administrative lead or office manager. Answer and direct incoming phone calls, respond to routine inquiries, and provide friendly, professional customer service. Maintain organized records, files, correspondence, and office documents. Assist with bookkeeping, invoicing, expense reporting, and basic accounting tasks using QuickBooks. Research and evaluate vendors, track invoices, and follow up on outstanding items. Coordinate schedules, meetings, and team events; prepare agendas and supporting materials. Track project deadlines and communicate updates to the appropriate team members. Maintain office supplies and monitor inventory. Help develop and improve office procedures to support efficient workflow. Perform other duties as assigned by management. Qualifications At least one year of administrative or office assistant experience required. At least two years of QuickBooks experience required. High school diploma or GED required. Strong computer skills, including proficiency with Google Sheets and related office applications. Typing speed of at least 45 words per minute. Strong organizational skills and attention to detail. Clear, professional written and verbal communication skills. Ability to prioritize assignments, meet deadlines, and follow tasks through to completion. Ability to work independently with minimal supervision while collaborating effectively with others. Strong research, analytical, and problem-solving skills. Reliable attendance, punctuality, and transportation to the workplace. At least one year of customer service experience preferred. Experience coordinating projects or supervising employees preferred.
