Overview:
We are seeking a detail-oriented and experienced Roofing Project Administrator to join our team. This role is vital in managing the administrative aspects of roofing projects from inception to completion, ensuring smooth coordination and effective communication across all project phases. The ideal candidate will have a strong background in the construction industry, with the requirement of: at least two years or more of experience in roofing construction or a similar role, and proven expertise in processing payment applications . This position offers an opportunity to contribute to high-quality roofing projects by overseeing project planning, documentation, and coordination efforts.Responsibilities:
Bid Administration & Award Processing Prepare bid packages for management review and approval. Maintain bid records, submissions, and outcomes. Coordinate communications regarding bid awards and project notifications. Assist with project file creation and startup documentation. Contract & Subcontract Administration Review contracts and subcontract agreements for completeness and compliance. Coordinate contract execution and required approvals. Prepare subcontract packages and supporting documentation. Maintain project contract records and documentation. Project Setup & Startup Administration Create Schedule of Values (SOV). Pay Applications Pull Material Procurement Certificates (MPCs). Coordinate permitting requirements and documentation. Upload project documents and subcontract pay worksheets to company platforms. Prepare handoff packages and coordinate handoff meetings. Submittal & Insurance Coordination Prepare and track project submittals. Process substitution requests when applicable. Coordinate insurance and bonding requirements. Maintain compliance documentation. Project Kickoff & Closeout Prepare materials for project kickoff meetings. Coordinate project startup milestones. Manage administrative closeout activities. Update and close records in project management systems and archive project documentation. SkillsREQUIRED
Minimum of two+ years of experience working in construction or a similar administrative role within the construction industry. Strong knowledge of construction industry practices, including project planning and management. Experience processing payment applications (pay apps) with attention to accuracy and detail. Familiarity with construction plans, permits, insurance requirements, and submittal processes. Excellent organizational skills with the ability to manage multiple tasks simultaneously. Effective communication skills for coordinating between teams, vendors, and clients. Proficiency in relevant software tools used for project documentation and management is preferred.
