Job Description

Swank Enterprises is hiring an administrative assistant / project manager assistant for our Missoula office branch. In this position, you will work closely with your designated project manager(s) to perform general construction admin operations, communication, document control & filing of various project documentation. I.e., Construction documents (Plans and Specifications), RFI's, material submittals, insurance certs, Invoice coding & tracking, filing contacts, producing change orders and communication within Swank Enterprises departments, such as, accounts payable, accounts receivable, labor etc. General administrative office duties include maintaining overall office wellness, such as, greet and support visitors, keeping office supplies stocked, mailing & postage, office related errands, archive project documents, water office plants, recycle office paper, etc.
Job Responsibilities and Tasks:
Assist with project coordination and management tasks Organize and maintain project files and documentation Utilize Microsoft Suite to create and update spreadsheets, presentations, and documents Perform clerical duties such as answering phone calls, responding to emails, and scheduling meetings and mailing Upload documents to construction software programs Collect and file various construction documents File and code invoices and change orders Perform small checking account operations, deposit and write checks
  • Assist with event planning and coordination Provide general administrative support to the team Invoice Filing & Cost Coding Printing & scanning Errands for general office supplies Mailing
  • USPS, UPS, FedEx Water office plants Personable with a bright disposition
Experience:
Previous experience as a project assistant or in a similar administrative role is preferred but not required Proficiency in using both Microsoft Suite (Outlook, Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides) for creating and editing documents Familiarity with Procore Construction Management and Sage 300 Construction not required but preferred Strong organizational skills and attention to detail Excellent written and verbal communication skills Ability to multitask and prioritize tasks effectively Experience in a construction office or as a construction office receptionist is beneficial but not required. Knowledge of clerical procedures and office management practices Benefits and compensation: Pay Range Starting at: $3,600
