Job Description

Cary Ballet Conservatory is seeking a dependable, professional, and highly organized Part Time Office Assistant to support our front office during weekday evenings and Saturday mornings. This position serves as an important point of contact for our students, families, faculty, and staff. The ideal candidate is proactive, detail oriented, comfortable working independently, and able to provide excellent customer service in a busy school environment. We are looking for someone who can confidently manage front desk responsibilities, communicate professionally with families and staff, stay aware of daily operations, and independently complete opening or closing procedures. This is a long term part time position and is not anticipated to transition into a full time role. Regular Schedule The primary schedule for this position is: Wednesday through
Friday:
approximately 4:00 PM to 9:00
PM Saturday:
8:15 AM to 12:45 PM Thursday and Friday evening hours may occasionally end earlier depending on the Conservatory schedule. Occasional Sunday hours may be required during especially busy periods, performances, rehearsals, or special programming. Advance notice will be provided whenever possible. There may also occasionally be opportunities or a need to assist with coverage when another office team member has approved time off. These schedule adjustments will be communicated in advance whenever possible. Consistent availability during the regular Wednesday through Saturday schedule is essential. Key Responsibilities Front Desk and Family Support Serve as a welcoming and professional point of contact for students, families, faculty, and visitors Greet families and assist with general questions and inquiries Answer and direct phone calls and emails professionally Assist families with basic registration, scheduling, and account questions and direct more complex matters to the appropriate manager or Director Maintain professionalism and discretion when handling student, family, and staff information Help ensure that students and families receive accurate information and know where to go for additional assistance when needed Office and Administrative Support Assist with filing, data entry, document organization, and general administrative projects Monitor and assist with shared office email communication Maintain organized digital and physical files Assist with registration and scheduling related administrative work Monitor office supplies and restock supplies throughout the Conservatory as needed Help maintain an organized, clean, and efficient front office and lobby area Complete administrative projects assigned by the Office Manager or Directors Follow established office procedures and communication practices Scheduling and Internal Communication Regularly review the Conservatory's scheduling and communication platforms Remain aware of the current staff and studio schedule while working Review relevant internal updates when reporting for a shift so that you are aware of information from earlier in the day or previous shifts Communicate schedule conflicts and time off requests according to established office procedures Adapt to occasional operational or scheduling changes while maintaining clear communication with management Opening, Closing, and Facility Operations Independently open and prepare the Conservatory for Saturday operations Prepare the front office, lobby, and necessary areas before students and families arrive Complete weekday evening closing procedures accurately and independently Ensure appropriate areas of the building are secured at closing Assist with basic facility needs that arise during operating hours Follow Conservatory safety, emergency, and operational procedures Communicate facility concerns or unusual situations promptly to management Qualifications Previous experience in an office assistant, administrative, receptionist, customer service, or similar role is required Strong working knowledge of Apple Mac computers and the ability to troubleshoot basic technology issues Strong understanding of Google Workspace, including Gmail, Google Drive, Google Docs, Google Sheets, and shared files Comfortable managing a shared inbox and working within shared digital systems Comfortable learning and consistently using scheduling, registration, and internal communication platforms Excellent written and verbal communication skills Strong organizational skills and attention to detail Ability to multitask effectively in a busy environment Ability to work independently without continuous supervision Strong judgment and the ability to determine when an issue should be escalated to management Dependable, punctual, and able to maintain a consistent weekly schedule Comfortable interacting professionally with children, parents, faculty, and staff Ability to take initiative and identify tasks that need attention without waiting for continuous direction Ability to independently open, prepare, and close the office and Conservatory according to established operational procedures The Ideal Candidate The right person for this role understands that working in a performing arts school can be fast paced and that daily needs may evolve depending on classes, rehearsals, performances, and school activities. We are looking for someone who is reliable, calm, proactive, and comfortable taking ownership of their responsibilities. This person should enjoy being part of a team while also being confident working independently during evening and Saturday hours. A strong candidate will understand the importance of communication, consistency, and professionalism and will take responsibility for staying informed about schedules and daily operations. Most importantly, we are looking for someone interested in becoming a dependable, long term member of the Cary Ballet Conservatory administrative team.
