Job Description

We are a small commercial and industrial general contractor serving the Charlotte area. We are looking for an experienced, organized, and detail-oriented Construction Administrative Assistant to provide administrative support to our project management team and general office operations. This is a hands-on position in an office environment where the ability to stay organized, manage multiple priorities, and work independently is important. Previous working experience with Procore construction management software is required. Key Responsibilities
  • Provide day-to-day administrative support to office staff, Project Managers, Superintendents, and Estimators.
  • Maintain project information, documentation, and files within Procore.
  • Assist with project setup and project closeout.
  • Maintain and organize project documents including contracts, subcontracts, purchase orders, change orders, RFIs, submittals, drawings, specifications, permits, and other project records.
  • Assist with subcontractor and vendor onboarding and compliance documentation, including Certificates of Insurance, W-9s, and lien waivers.
  • Assist with subcontractor pay applications, vendor invoices, and related project documentation.
  • Maintain organized digital and physical filing systems.
  • Assist with project schedules, logs, calendars, and document tracking.
  • Assist with compiling closeout documentation, including O&M manuals, warranties, as-builts, and other required closeout documents.
  • Assist with employee onboarding paperwork and general office coordination.
  • Provide data entry and maintain accurate information within company systems.
  • Prepare correspondence, spreadsheets, reports, and other administrative documents as needed.
  • Provide general office support and assist with special projects as needed. Qualifications
  • Previous hands-on Procore construction management software experience required.
  • Minimum 2 years of administrative experience in the construction industry preferred, with commercial construction experience strongly preferred.
  • Working knowledge of construction terminology and common construction documentation.
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to work independently while also supporting multiple team members.
  • Dependable, professional, and willing to assist wherever needed in a small-company environment.
What We're Looking For Because we are a small general contractor, this position is best suited for someone who is comfortable wearing multiple hats. We are looking for someone who takes initiative, follows through, keeps information organized, and can move between project-related administrative responsibilities and general office support as priorities change. Procore proficiency is important to this position. Candidates should have actual experience working within Procore and be comfortable navigating the platform as part of their day-to-day responsibilities.
