Administrative Office Assistant for
AZTEC Financial Group:
We are seeking a part-time to full-time administrative assistant to provide in-person office support for a local financial advising firm. AZTEC Financial Group is a small, people-focused financial company in Dover, NH that provides an array of services, from helping people grow their wealth, to guiding them toward a comfortable retirement. Our goal is to help families reach and maintain financial security, allowing them to fulfill their dreams, whatever they may be. The advisors do this through effective planning and the development of a clear investment strategy, and the support you provide makes that possible. Our culture is friendly and relaxed without sacrificing the quality of our results. When a client comes in, our goal is to feel less like a doctor's appointment and more like visiting a friend for advice.Your part:
As an administrative assistant, you are often the first contact that a client or prospective client has with our company. Because of this, the right fit needs to be friendly and caring. When there are situations that require problem-solving, you will not be expected to know how to do everything, but you must be willing to ask questions, make use of the available resources, and keep learning. Available resources include your team members, the administrative assistant manual, how-to articles, and a dedicated service line. You will not be without help!Other requirements include:
Organizational skills Attention to detail An Analytical approach Strong communication skills Ability to work independently and with others Preferred but not required: A college degree Experience in the financial industry Experience with data entry Experience with content creation If you don't have the preferred qualifications, that's okay. We would rather have someone hard-working and willing to learn than someone who knows the industry but doesn't display the qualities that our team is built on.Daily activities:
Answering phones and fielding calls Scheduling appointments and maintaining calendars Scanning and uploading paperwork Conversing with clients and making them feel at home Keeping notes on client interactions and activities Processing financial transactions Opening and distributing mail Light office cleaning Keeping office supplies stocked Other tasks may include: Social media management Maintaining a company blog Designing and writing a monthly newsletter Communicating with other investment companies Working together with the team to resolve client concerns Assisting with opening and maintaining investment accounts You will not be expected to take on more complicated client concerns or account management tasks before you are ready. As your knowledge and confidence grows, then you may begin to take on more. Some additional details about the job/company: Our office is open Monday-Friday from 8:30am - 5:00pm, but your schedule may be something like Tuesday-Thursday from 8:30am - 4:00pm, for example. We are willing to work with you to design a work schedule that meets our needs and also works for you. We are quite flexible with the days/hours that you are available to work. We offer paid time off for both full-time and part-time employees. Additional unpaid days off are also available if all of your paid time off for the year has been used. Group life, disability, dental, and vision insurance is available to employees, but we do not offer health insurance. A 401(k)/Profit Sharing Plan is available after one year of service with a company match on your contributions of 100% for the first 3 percent, and 50% of the 4th and 5th percent.Dress code:
No jeans, shorts, or flip flops. Bottom line is to look respectful and professional. Business casual is fine.Pay:
