Job Description
We are looking for a reliable, organized, and personable Office Assistant to join our HVAC team! This is a hands-on position for someone who enjoys staying busy, communicating with customers and technicians, and keeping the day-to-day operations of an HVAC company running smoothly. The ideal candidate is organized, dependable, comfortable multitasking, and willing to jump in wherever needed. Responsibilities Answer and manage incoming phone calls in a professional and friendly manner Schedule service calls and coordinate appointments with customers Dispatch HVAC technicians efficiently and communicate schedule changes as needed Create and process customer invoices Communicate with vendors regarding parts, materials, orders, and deliveries Occasionally work outside of the office, including transporting parts or materials to job sites Assist technicians with administrative and logistical needs Maintain organized records and support general office operations Perform other duties as needed to help keep the business running efficiently What We're Looking For Excellent communication and customer service skills Strong organizational and time-management abilities Ability to multitask and prioritize duties Professional, dependable, and team-oriented with a positive, can-do attitude Comfortable working with computers and learning company software Ability to communicate effectively with customers, technicians, and vendors Willingness to occasionally work in the field and transport parts Previous office, dispatch, customer service, or HVAC industry experience is a plus, but not required Why Join Us?
