Job Description

JOB TITLE
Administrative Assistant
EDUCATION
Minimum of a high school diploma Computer skills including Microsoft Outlook, Word and Excel Standard office machine knowledge including phone, copy, fax, scan.
JOB RESPONSIBILITIES 1.
Answer and transfer telephone calls to appropriate individual 2. Answer basic questions related to the program, current schedule, contact information, etc. 3. Once basic questions are answered, transfer client intake and case management questions to clinical care coordinator 4. Inform clients of intake paperwork received, notify them that medical release will be send to their medical provider 5. Complete faxing to medical providers and follow up with the request/s 6. Once intake and medical release received, print and have reviewed by case coordinator to schedule evaluation and/or request further information 7. Once client's evaluation is scheduled, prepare, mail/email new client letters 8. Prepare client charts a. Create charts for new evaluations per standard chart structure. b. Print history intake from electronic medical record c. Include medical clearance/s d. Include as appropriate VR/3rd party funding approval e. Include correct evaluation packet 9. Mail documentation as needed or requested. 10. Send Not Seen Letters/Call medical providers as needed or requested. 11. Follow up weekly on outstanding client and medical release paperwork 12. Follow up monthly or as requested clients awaiting training approval 13. Copy/scan evaluation reports 14. Maintain file system. a. Maintain file of active charts b. Move inactive charts or completed charts to appropriate file cabinet. 15. Scan discharged charts to correct file 16. Shred charts that are 6 months or older and ensure they have been uploated to the electronic medical record 17. Prepared thank you notes and include photo release in the charts of clients preparing for licensure and/or vehicle check out 18. Maintain office appearance, waiting area, etc. 19. Tracking and overseeing vehicle maintenance, supplies and condition 20. Tracking client numbers, diagnoses, status; specifics to be determined 21. Assisting with preparation of driver education materials as requested 22. Other duties as assigned
Pay:
From $20.00 per hour Expected hours: 30.0 - 40.0 per week
