Summary:
The Service Coordinator works within our scheduling department providing excellent customer service for our clients and accurate service work order creation and repair tracking.
Job Responsibilities:
- Field incoming service calls and emails, gather and document important service call details, and enter accurately in our scheduling software
- Generate accurate sales orders and purchase orders for parts, supplies, and service billing
- Respond to and coordinate incoming service requests, including phone and email inquiries, parts requests, service quotes, and follow-up activities.
- Prioritize daily goals and objectives for the service team and scheduling efforts, discuss scope and coordination with Bode Service Technicians, communicate results and coordinate with clients
- Communicate effectively with multiple departments, including regular daily conversations with field technicians
- Maintain accurate records and documentation while ensuring service-related tasks and follow-ups are completed in a timely manner.
- Review and investigate parts requests, work with vendors to quote service repairs, preventative maintenance and/or return trip estimates
- Provide support for Scheduling and Operations Dept., assisting with administrative functions
- Help maintain a constant fluctuating schedule for our NH and MA Service Technicians
- Facilitate delivery and pickup of lift equipment, as needed
- Assist with assigning job tasks, manipulate and update jobs via the system scheduler
Requirements:
- Strong verbal and written communication skills
- Highly organized, detail oriented, and comfortable with multi-tasking in a fast-paced environment
- Highly motivated, an overall sense of urgency to get the job done, and an eagerness and willingness to learn
- Comfortable following a process/workflow with multiple steps
- Cognitive thinker and decision-making ability
- Previous experience with work order management and accurate data entry
- Scheduling and coordinating or dispatching service
- Comfortable speaking on the phone with various customers, suppliers and Bode technicians
- General understanding of how parts and equipment operate
- Previous experience working with industry trades preferred
- Proficient with Microsoft Office, including Outlook, Word, and Excel
