Position Title:
Recording Secretary•School Board Reports to: School Board Chair and/or Superintendent (or designee)

NH PURPOSE
The Recording Secretary is responsible for providing accurate, timely, and compliant documentation of school board meetings and related recordkeeping. This role supports open, transparent governance and ensures public records comply with New Hampshire's Right-to-Know law (RSA 91-A).
KEY DUTIES & RESPONSIBILITIES PREPARE & RECORD MINUTES
Attend all regular and special School Board Meetings. Take clear, accurate notes of discussions and board actions. Produce draft minutes promptly within 5 business days. Revise minutes based in review by the Board Chair or designated reviewer
ENSURE COMPLIANCE
Format minutes in accordance with NH public meeting law requirements (RSA 91-A). Include key elements such as motions made, votes taken, agenda items, attendance, and legally required summaries.
MEETING SUPPORT
Review agenda packets in advance to anticipate and clarify items to be recorded. Attend some meetings in person and others virtually, based on scheduling and consent.
COMMUNICATIONS & LIAISON
Communicate with the Board Chair, Superintendent, and Administrative staff to ensure smooth preparation and delivery of minutes and records.
QUALIFICATIONS
Strong listening, shorthand, and typing skills (accurate 50+ words/min recommended). Familiarity with public meeting laws (NH
RSA 91-A
) and public record requirements. Experience with word processing and online meeting platforms (Zoom, Teams, etc.). Excellent written communication and organizational skills. Ability to meet deadlines for minute distribution and posting.
WORKING CONDITIONS
Evening meetings are common. Work is part time; may vary by month based on meeting schedule. May work remotely for minute transcription and drafting.
TYPICAL PAY
Many NH school board recording secretaries are part-time and paid hourly or per meeting (e.g., $25.00 per hour in some districts).
