Administrative Assistant Portsmouth, NH Area | Full-Time | Monday-Friday, 8:30 AM-5:30 PM Leddy Group is seeking a highly organized, professional, and detail-oriented Administrative Assistant to join a respected professional organization in the Portsmouth, NH area. This is an exciting opportunity for an administrative professional who thrives in a fast-paced environment and enjoys supporting executive leadership while serving as a key contributor to daily business operations. This hands-on role sits at the operational center of the organization, providing support across office management, executive administration, human resources, finance, technology, marketing, and compliance functions. The ideal candidate will be a proactive self-starter with exceptional communication skills, sound judgment, and a commitment to delivering outstanding service to all internal and external stakeholders. Responsibilities Office & Facilities Management Serve as the primary point of contact for visitors, deliveries, and incoming mail Manage office supplies, postage, and inventory Coordinate meeting logistics, conference room scheduling, and parking arrangements Maintain digital filing systems and company records Ensure common areas remain organized and professional Executive & Administrative Support Coordinate executive calendars, travel arrangements, and itineraries Manage gifts, cards, flowers, and special requests Provide administrative support for executive, client, and prospect-related activities Handle confidential information with professionalism and discretion Human Resources & Marketing Support Assist with onboarding and offboarding activities Coordinate background checks, employee paperwork, and candidate scheduling Support marketing initiatives, mailings, and promotional materials Accounts Payable & Vendor Coordination Manage vendor communications and documentation Code and process credit card expenses Collect and maintain vendor records, including W-9 documentation Compliance & Regulatory Support Assist with regulatory and compliance documentation Support compliance meetings and reporting activities Maintain compliance calendars and required records Reconcile monthly brokerage statements Information Technology Coordination Serve as liaison with external IT and telecommunications providers Assist with procurement and maintenance of laptops, mobile devices, and AV equipment Track and coordinate technology support requests Qualifications Bachelor's degree preferred 5+ years of experience in office management, executive assistant, bookkeeping, or related administrative roles Experience within a professional services environment is highly desirable Advanced proficiency with Microsoft Office applications Experience with Salesforce, videoconferencing platforms, and office technology systems Outstanding organizational and multitasking abilities Strong written and verbal communication skills Ability to manage confidential financial, personnel, and client information Professional, polished, and customer-service-oriented demeanor Positive, team-focused attitude with a continuous improvement mindset Schedule Full-Time, On-Site Monday through Friday 8:30 AM to 5:30 PM Why Consider This Opportunity?
