Job Summary We are seeking a dedicated and highly organized Administrative Assistant to to join our dynamic team and support our corporate office operations. The ideal candidate will possess strong office management skills, exceptional communication abilities, and a proactive approach to handling administrative tasks. Your attention to detail and ability to handle confidential information with discretion will be essential to your success. In this vital role, you will provide comprehensive administrative support, manage documentation, coordinate daily office activities, and assist with the smooth operation of the office. This position offers an exciting opportunity to be at the center of daily office operations, supporting staff, clients, and team members in a fast-paced environment. Responsibilities Draft, review, and proofread general office documents, correspondence, reports, and other materials with precision and clarity, and document filing. Manage and maintain company files and documents, ensuring accuracy and organization. Perform data entry related to office information while maintaining accurate records. Assist staff with organizing information, preparing documents, and tracking assignments and deadlines. Assist with other general administrative tasks and projects. Maintain organized records of documents, correspondence, appointments, and office activities. Requirements Proven experience as an Office Administrator, Administrative Assistant, Receptionist, or in a similar administrative role. Excellent writing and communication skills with the ability to prepare clear and professional office documents. Demonstrated organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong attention to detail and accuracy in document review and data entry. Excellent computer skills and familiarity with Microsoft Office, email, calendars, spreadsheets, and other standard office software. Strong interpersonal skills with professional phone etiquette for interacting with clients and team members. Ability to handle confidential information discreetly while maintaining accuracy and professionalism. Ability to work independently as well as part of a team. Dependable, organized, professional, and willing to learn. Farmingdale, NJ - Work Location In Person 5 days per week Monday to Thursday 8 am-5pm & Friday 8 am-2pm Preferred Qualifications 3 years previous office administration or clerical experience. Experience with scheduling, data entry, spreadsheets, and document management.
