SUMMARY Support a fast-moving program coordination team with high-volume phone outreach, travel research, invitation preparation, data entry, and day-to-day administrative tasks. This is an onsite, full-time temporary opportunity for a polished and dependable administrative professional who enjoys detailed work, clear processes, and juggling multiple requests in a deadline-driven environment.
RESPONSIBILITIES
Contact venues by phone to verify availability, collect required details, and accurately document findings. Research flight, hotel, and other travel options and enter information into established travel request forms. Prepare and populate invitations and related program materials using provided information and templates. Maintain accurate records and data while following established administrative procedures and workflows. Provide routine coordination support for meetings and programs, including handling multiple incoming requests and priorities. Communicate professionally with venues and other contacts while representing the team in a courteous and organized manner. Assist with additional administrative and program-support activities as needs arise.
QUALIFICATIONS
Strong phone-based customer service or administrative experience, including comfort with frequent outbound calling. Professional, pleasant, and easy-to-understand verbal communication skills. Strong attention to detail with accurate computer, data-entry, and documentation skills. Organized and dependable with the ability to follow established processes and manage multiple requests in a fast-paced setting. Comfort researching information online and entering findings into forms, templates, or other tracking tools. Professional demeanor and collaborative approach when supporting a team that may work across different locations. Prior pharmaceutical industry or formal project management experience is not required.
