Job Description
We are seeking an experienced, confident, and organized Front Desk Administrative Assistant to join our busy behavioral health practice in Cedar Knolls, NJ. This is much more than a traditional receptionist role. Our front desk is the heart of the practice and we're looking for someone who genuinely enjoys helping people, communicates with warmth and confidence and can keep multiple moving parts organized while providing an exceptional patient experience. If you prefer a behind-the-scenes role with minimal interaction, this position is likely not the right fit. We're looking for someone with medical office experience who genuinely enjoys connecting with patients, providing exceptional customer service and helping a busy practice run smoothly. What You'll Do Serve as the first point of contact for patients, families and providers by phone and in person. Answer a high volume of phone calls with professionalism, confidence, empathy and efficiency. Schedule new and existing patients while balancing provider availability and patient needs. Guide patients through appointments, paperwork, payments, medication refill requests and form/record requests. Support our clinical staff with day-to-day administrative tasks. Maintain accurate patient records and ensure smooth front office operations. Help create a welcoming, organized and compassionate experience for every patient who contacts our practice. What We're Looking For Required Minimum of 1 year of front desk, receptionist or administrative experience in a medical office. Outstanding verbal communication and telephone skills. Strong organizational skills with exceptional attention to detail. Ability to prioritize multiple responsibilities without losing accuracy. Comfortable learning new technology and electronic medical record systems (Valant experience is a plus). Professional, dependable, and able to work independently while contributing to a collaborative team. Takes ownership of their work and follows tasks through to completion. Is dependable, accountable, and enjoys being part of a supportive team.
