About the Role R-19 Cloud Based Phone Systems is seeking a highly organized, self-motivated Office Clerk to independently manage all day-to-day office operations. This is a self-contained role with no other office staff — you will own the front office, working closely with field technicians, sales, and ownership to keep the business running smoothly. The ideal candidate is comfortable wearing multiple hats: office management, light bookkeeping, customer service, and dispatch coordination. Key Responsibilities Office Management Serve as the single point of contact for the front office, keeping daily operations organized and running efficiently Maintain office supplies, files, and records Manage incoming mail, deliveries, and general office correspondence Support ownership with administrative tasks as needed Light Bookkeeping & Invoicing Generate and send customer invoices in a timely manner Track accounts receivable and follow up on outstanding balances Process vendor bills and assist with basic accounts payable Reconcile basic financial records and prepare simple reports for ownership Maintain organized digital and/or paper financial records Customer Service Answer incoming calls and respond to customer emails professionally and promptly Address customer questions regarding billing, service, and general inquiries Resolve routine issues independently; escalate complex matters appropriately Maintain strong, positive relationships with customers Dispatch Schedule and coordinate service calls and installations for field technicians Monitor technician schedules and adjust routing/timing as needed throughout the day Communicate job details, changes, and priorities clearly to technicians in the field Track job status from scheduling through completion Qualifications Prior experience in office administration, bookkeeping, customer service, or dispatch (telecom or field-service industry a plus) Strong organizational skills and the ability to manage multiple priorities independently Comfortable working solo in the office with minimal day-to-day supervision Proficiency with basic accounting/invoicing software (e.g., QuickBooks) and Microsoft Office/Google Workspace Excellent verbal and written communication skills Strong phone etiquette and a customer-first attitude Ability to problem-solve and make sound decisions independently What Success Looks Like Invoices go out accurately and on time Customers feel heard and issues are resolved quickly Technicians are scheduled efficiently with minimal downtime or scheduling conflicts The office runs smoothly with no single task falling through the cracks
Pay:
$22.00 - $27.00 per hour Expected hours: 40.0 per week
