Job Description
About us Princeton Community Housing (PCH) in Princeton, NJ is seeking an enthusiastic Office Assistant to join the dedicated teams at Elm Court (EC) and Harriet Bryan House (HBH), two welcoming affordable rental communities for residents aged 62 and older, located on 6 beautifully landscaped acres in Princeton, NJ. EC and HBH feature 88 and 66 rental apartments respectively, along with many indoor and outdoor amenities for residents, including generous meeting rooms, a library, and a community garden, as well as various activities and supportive programming. PCH is a not-for-profit organization established in 1967 that develops and manages welcoming and quality affordable rental apartments in Princeton, NJ, and provides all residents with access to a wide array of supportive community resources. The Office Assistant reports to the Property Managers at EC and HBH and provides administrative and operational support to the Property Managers , assists with the day-to-day operations of both offices, and serves as an initial point of contact for residents, applicants, vendors, and visitors, directing inquiries to the appropriate staff. The position also provides administrative support to Maintenance and Social Services as needed. Core Duties Reception and Office Support Serve as the initial point of contact for residents, applicants, vendors, visitors, and the public by providing routine information and directing inquiries to the appropriate staff. Perform general administrative and clerical duties, including records management, document preparation, correspondence, filing, and maintaining an organized office environment. Property Management Support Manage application intake, applicant records, and waitlists for Elm Court and Harriet Bryan House, including coordination of the annual waitlist update, under Property Manager oversight. Assist with the preparation and organization of leases, annual recertifications and HUD forms. Maintain property management records and tracking systems, including but not limited to vehicle registrations, animal-related records, emergency contact information, Community Room schedules, utility allowance information, and other required files. Assist with administrative processes related to invoices, vendors, and special projects as assigned. Provide administrative support to Social Services as needed, including flyers, event materials, notices, and related clerical support. Maintenance and Facilities Support Receive, enter, track, and maintain maintenance work orders, records, and related information. Assist management and maintenance staff with inspections, scheduling, resident communications, notices, pest-control documentation, vendors, projects, and other maintenance-related administrative activities. Key Skills and Qualifications 3-5 years of administrative or office support experience. Knowledge of general office administration, organization, records management, and administrative practices. Ability to maintain confidentiality and handle sensitive information appropriately. Strong written and verbal communication skills and the ability to interact professionally with residents, applicants, staff, vendors, and the public. Proficiency with Microsoft Office, Outlook, Excel, and other office software and equipment. Strong organizational, prioritization, observation, problem-solving, and attention-to-detail skills. Ability to identify routine administrative, resident service, maintenance, and workflow matters; determine appropriate next steps; and refer matters requiring additional staff or management attention. Ability to work independently and collaboratively while maintaining professional boundaries and following established procedures.
